Overview

PitchScout AI is a video analysis platform for youth and amateur soccer. We take privacy seriously — especially when it comes to players under 18. This policy explains what data we collect, why we collect it, and how we handle it.

What we collect

We collect the minimum information needed to run the analysis and deliver your report:

• Jersey number — used to identify the player in the footage
• Position, age group, dominant foot, match type, kit colour — used to contextualise the analysis and grade the player against appropriate benchmarks
• Video footage — uploaded directly to encrypted cloud storage for processing
• Email address — used to deliver the completed report and to send a link to retrieve it
• Session identifiers — anonymous IDs used to link your upload to your report

We do not collect player names, parent names, addresses, phone numbers, or any other personal identifying information.

Children's privacy (COPPA)

We never ask for a player's name. All analysis is keyed to a jersey number only. Players are never identifiable from the data we store.

If you believe a minor's data has been submitted without appropriate authorisation, contact us at [email protected] and we will delete it promptly.

How we handle your data

Here is exactly what happens to your data from upload to delivery:

• Upload — Video is transferred directly to encrypted cloud storage using a time-limited secure URL. It is never routed through our web servers.
• Analysis — Once uploaded, the footage is submitted to our AI video analysis provider for processing under a data processing agreement.
• Report delivery — Your report is delivered by email via a trusted email delivery provider. The email contains a secure link unique to your session.
• Storage — Report data is stored in an encrypted database. Video footage is retained for a limited period after analysis to allow for re-processing if needed, then permanently deleted.
• No sale of data — We do not sell, rent, or share your data with advertisers or third parties for marketing purposes.
• No facial recognition — We do not use facial recognition or biometric identification at any point in our analysis pipeline.

Third-party services

PitchScout AI relies on third-party providers to deliver the service. Each is bound by its own privacy policy and, where applicable, a data processing agreement with us:

• Cloud infrastructure provider — video storage and email delivery
• AI video analysis provider — processing and understanding of uploaded footage
• Database provider — encrypted storage of report and session data
• Authentication provider — secure sign-in for club and coach accounts

Data retention

We retain data for the minimum period necessary:

• Video footage — deleted after analysis is complete and the report has been delivered
• Report data — retained for as long as your account or report link is active. You can request deletion at any time.
• Email addresses — retained only to deliver your report. We do not send marketing emails without explicit opt-in.

Your rights

You have the right to:

• Request a copy of any data we hold about you or your player
• Request deletion of any session, report, or uploaded footage
• Withdraw consent and have all associated data removed
• Lodge a complaint with a relevant data protection authority

Security

All data is encrypted in transit (TLS 1.2+) and at rest. Access to production systems is restricted to authorised personnel only. We conduct regular reviews of our security posture and respond promptly to any identified vulnerabilities.

Changes to this policy

We may update this policy from time to time. Material changes will be noted at the top of this page with a revised date. Continued use of PitchScout AI after changes are posted constitutes acceptance of the updated policy.
